2 · What we collect
We only collect data you give us through the website. Specifically:
Contact & sketch forms
- Name, company, email address, phone number (optional), job role (optional)
- Information about your operation: type, throughput, timeline, headcount
- Free-text description of the problem you'd like us to help with
- Files you choose to upload (sketches, CAD screenshots, photos)
ROI estimate emails
- Email address you enter to receive the estimate
- The figures you entered into the calculator at the time you clicked send
Automatic technical data
- IP address, browser type, device type, pages visited (collected by our hosting provider and any analytics tool — see Cookies below)
3 · Why we use it (legal basis)
- Legitimate interest — to respond to your enquiry, prepare a proposal, follow up about an automation project. You are a business contact making a B2B enquiry.
- Contract — once we agree to work together, to deliver the project.
- Consent — for any non-essential cookies or marketing emails. You can withdraw consent at any time.
- Legal obligation — to keep records required by HMRC, Companies House and other UK regulators.
4 · How long we keep it
Enquiry data is kept for up to 24 months after the last contact, unless you become a customer (in which case standard commercial record-keeping applies — typically 7 years for tax purposes).
You can ask us to delete your data sooner. See "Your rights" below.
5 · Who we share it with
We don't sell your data. We share it only with the suppliers we need to run the website and respond to you:
- Web3Forms (web3forms.com) — relays our ROI calculator submissions into our inbox. Web3Forms does not store form submissions.
- Basin (usebasin.com) — relays our sketch upload form (including attached drawings and photos) into our inbox. Basin temporarily stores submissions to make file attachments available; we delete them once they reach our inbox.
- Hosting provider — the company hosting orionmis.co.uk (currently GitHub Pages / GitHub, Inc.).
- Email provider — for the inbox that receives your enquiry.
- Analytics — if you accept analytics cookies, anonymised page view data is processed (e.g. Google Analytics).
- Contact & enquiry forms — when you submit a form (sketch upload, ROI calculator, or the "Ask Orion" enquiry modal), your contact details and message are relayed via our form processors (Web3Forms for ROI, Basin for sketch and Ask Orion) so an engineer can come back to you.
Some of these providers (e.g. Google) may transfer data outside the UK. Where they do, they rely on UK GDPR–approved safeguards (Standard Contractual Clauses or UK adequacy decisions).
6 · Your rights
You have the right to:
- Ask for a copy of your data
- Ask us to correct or delete it
- Object to or restrict our use of it
- Ask for portability (we send a machine-readable copy)
- Withdraw consent at any time (for anything we do on the basis of consent)
- Complain to the UK Information Commissioner's Office

7 · Cookies
We use a small number of cookies:
- Essential — required for the site to work (e.g. remembering your cookie banner choice). No consent required.
- Analytics — anonymised page view counts via Google Analytics (only if you accept).
We do not use any live-chat widget. Contact happens through form submissions to our inbox.
You can change your cookie choices at any time using the cookie settings link in the footer.
8 · Security
Forms submit over HTTPS. Files are passed straight to email and not stored on the website server. Access to enquiry data inside Orion is restricted to staff who need it.

We may update this policy from time to time. The "Last updated" date at the top will always reflect the current version.
